A short guide to this document—not a replacement for the sections below.

This document is a working draft, not a final effective policy. The publication checklist at the end identifies what still needs confirmation.

01About these terms

These draft terms describe the proposed agreement between Mailbox Warm, the operator of MailboxWarm, and the individual or business using the service. If you act for an organization, you must have authority to act for it. You must be legally able to enter into an agreement and provide accurate account information.

This is a review draft, not a final effective contract. The final version must identify its effective date and be presented appropriately before acceptance. The Privacy policy explains data handling; the Acceptable use policy describes prohibited uses.

02What the service does

MailboxWarm helps build or repair sender reputation through automated warm-up exchanges. When available and enabled, your authorized mailbox sends warm-up emails to seed inboxes operated by MailboxWarm. Those inboxes can observe placement, mark messages read, rescue warm-up messages from spam, and send automated replies. The dashboard reports the resulting activity.

MailboxWarm is not an outreach campaign sender, recipient-list service, open mail relay, or provider-unblocking service. It does not send your marketing campaigns to prospects or retrieve their messages from their spam folders. Features depend on the selected provider, connection permissions, service availability, and configuration.

03Account and mailbox authorization

Keep access to your sign-in email and connected accounts secure. Connect only mailboxes you own or have explicit permission to administer. An agency must obtain its client’s authorization before connecting a client mailbox. Supply accurate connection details and use an app password or provider authorization where the integration requires it.

A mailbox connection authorizes only the operations needed for the configured service. You remain responsible for your provider agreement, lawful use of your mailbox, and appropriate sending volume. Follow connection warnings and revoke access with your provider if credentials are compromised. Do not submit credentials through support email.

04Plans, daily limits, and billing

Each named mailbox has its own plan and maximum daily warm-up allowance. Plans can differ by volume while sharing core features. Each mailbox has its own monthly or annual subscription, renewal date, invoices and payment details; a plan does not create a pool of interchangeable mailbox credits. Different mailboxes can use different billing frequencies.

A mailbox’s first successful purchase establishes its own billing cycle. Same-frequency upgrades charge the time-prorated difference and retain the renewal date. Switching from monthly to annual on the same or a higher tier charges the annual price less unused paid monthly time and starts a new annual term. Lower-tier changes and all annual-to-monthly switches take effect at that mailbox’s next renewal. Higher limits apply only after verified payment. Changing plans does not reset daily usage, resume warming or create a transferable credit balance.

The order and confirmation show the applicable price, currency, mailbox, limits, and effective date. Stripe hosts payment collection and billing portals. Do not treat a test checkout, a pending payment, or a displayed marketing price as confirmation of an active paid term. Any required taxes and additional charges must be disclosed before purchase.

05Renewal, cancellation, and pausing

Paid mailbox plans renew at their selected monthly or annual frequency unless renewal is cancelled. Annual plans are billed for the full year upfront; a displayed monthly equivalent is not a monthly payment schedule. Use the mailbox billing controls to review and confirm cancellation for the relevant address before its next renewal. Cancellation stops that mailbox’s future renewal and preserves its existing paid-through access; it does not cancel other mailboxes in the account.

Pausing warm-up stops future warming activity but does not cancel a subscription. Disconnecting a provider is also separate from cancellation. Review the confirmation and effective date after any billing change. If a change cannot be completed or its status is uncertain, contact support rather than assuming it succeeded.

An unsuccessful renewal does not extend a mailbox’s paid service. Already-paid terms for other mailboxes remain separate. Cancelling the final mailbox renewal does not by itself erase the management account or its records.

06Trials, refunds, and billing questions

Where trials are available, each customer account may activate one seven-day trial on one selected mailbox, with up to five warm-up emails per day. The trial begins when Stripe checkout is completed and requires a card. Unused daily allowance does not carry over. Unless you cancel that mailbox’s renewal in Billing before the displayed trial-end time, Stripe automatically charges the Starter monthly price disclosed at checkout. Additional mailboxes require separate paid subscriptions.

Canceling trial renewal stops the upcoming subscription charge while preserving the remaining free days. Restoring renewal does not restart or extend the trial. You may explicitly choose a paid tier and cadence, review its immediate charge, and end the trial early; any remaining free days are forfeited. Pausing warm-up does not cancel billing. Trial eligibility is not renewed by removing a mailbox or canceling a subscription.

Contact contact@mailboxwarm.com about an incorrect charge, cancellation problem, or refund request. No blanket non-refundable rule, automatic refund entitlement, or service-credit schedule is established by this draft. The final commercial policy must be approved before live purchases; rights required by applicable law cannot be excluded.

07Results and provider limitations

Mailbox providers decide whether to accept, filter, throttle, or suspend email. Warm-up cannot guarantee inbox placement, a particular reputation score, campaign response rate, revenue, or recovery of a suspended account. Sender authentication, content, recipient expectations, sending practices, and provider rules also affect outcomes.

A submitted message is not proof of delivery. Seed read flags and automated replies are not human prospect engagement. Spam rescue refers to warm-up messages in our seed inboxes. A reply target is not a promise of an exact achieved ratio. Illustrative website charts are not measured customer results or forecasts.

08Your information and our materials

You retain your rights in information you provide. You authorize processing of that information only as needed to provide the service and as described in the Privacy policy and any applicable data processing agreement. Do not provide information you lack permission to use.

Mailbox Warm and its licensors retain rights in the software, branding, and service materials. Subject to the final agreement, your access is a limited right to use the service for authorized business purposes, not ownership of the software or permission to resell seed-network access. Mandatory legal rights and applicable third-party licenses remain unaffected.

09Availability and service changes

Connection failures, provider restrictions, maintenance, or security incidents can interrupt warm-up. Monitor the dashboard and relevant service communications. A paid plan does not override disabled connection or sending capabilities, and this draft makes no uptime or support-response-time commitment.

Material changes to paid features, renewal pricing, or these terms should be communicated before they take effect, with an opportunity to stop renewal where appropriate. Urgent changes may be needed to protect security, comply with law, or respond to provider requirements.

10Misuse, suspension, and closure

Mailbox Warm may restrict a mailbox or account where reasonably necessary to address unauthorized access, abuse, payment failure, a legal obligation, or a material breach of the Acceptable use policy. Where practical and safe, we will explain the concern and what is needed to resolve it. Urgent threats may require immediate action.

You may contact support to challenge a restriction or request account closure. Closure, renewal cancellation, provider revocation, and data deletion have different effects. Any retained records and deletion requests are handled as described in the Privacy policy and applicable law.
